Bill Creation High Level Instructions
Creating bills / invoices in Coreflex can be done from two
screens based on your operational flow.
They are the Create
Warehouse Receipt Screen and Create
Bill screen.
The Create Warehouse Receipt Screen is intended to be used
to immediately create an invoice after receiving. It is accessed using the Create WH Receipt
button on the ASN
Receiving Screen.
The Create
Bill screen is used if you run bills weekly, monthly or any time that is
not specific to an operation event such as a receipt. Unlike the Warehouse Receipt screen, all
Coreflex billing types can be created from this screen. It is located on the Billing – Invoicing –
Create Bill tab.
Billing – Invoicing –
Create Bill
- Select
the Account for whom you are running the bill.
- Enter the
Start and End Dates for the Billing period.
- Enter
/ Select a comment (if desired). To
set up comments to appear in the drop down, use the Setup
Comments screen.
- Leave
the REFNO field blank.
- Select
the Bill Type. The types that
appear in the drop down are set up using the Invoice Group located on the Account
Preferences screen.
- Check
the following boxes:
- Final
Billing
i.
NOTE: When this
is checked the Misc Charges included on the bill will be marked with a status
of Billed. Leave this unchecked to run a
preliminary bill.
- Include
Inventory Charges
- Include
Fulfillment Charges
- Include
Shipping Charges
- Include
Other Misc Charges
- Click
the Generate Report button.
- The
screen will give you the Bill # it generated.
Viewing a Bill:
- You
can view a bill using the Search Bills screen.
Billing – Invoicing –
Print Billing
- You
can print the bill using the Print
Bill screen.
- Set
the Show Invoices with Status option to Un-Printed.
- Select
the Account for whom you are running the bill.
- Click
Refresh.
- Highlight
the Bill # (usually at the bottom of the list).
- Click
Print Invoice.
- To
Reprint the Bill, change the Show Invoices with Status option to Printed
to view the bills which have been printed, then do steps 5 and 6 above.
Export Bill to
QuickBooks
Note, the first time Coreflex
connects to QuickBooks, QuickBooks must be in single user mode logged on with
administrator privileges. You will need
to reply to a dialog box in QuickBooks that asks if you want to allow Coreflex
to connect to your company file.
- Using
QuickBooks, open your company file.
- Go to
the Export menu and select QuickBooks.
- The Export To QuickBooks
screen will display.
- Highlight
the Create Bills option.
- Click
the Connect to QuickBooks button.
