Substitute Products
There are three types of Substitute Products: Fulfillment Substitutions, Externally Specified Substitutions, and Re-label Operation Substitutions.
Fulfillment Substitutions
These types of substitutions are made when entering an order. They are products which can be substituted for a product on an order with insufficient inventory. To set them up, you must the configure the System Setting Products: Substitute Product Field to a product field (usually one of the category fields) which will be used to tie the original product and the substitute product s together. On the Search Products Screen, set this product field to the same value for all products that can be substituted for each other.
When searching for products to add to an order on the Order Entry Edit Select Products Screen, check the Display Substitute Products checkbox. This will show allowable substitutes for the product as well as other products that meet the search criteria.
Externally Specified Substitutions
This type is generally used when orders are imported and an Account's End Customer (the Ship To) has requested a product id (originally requested product id) that is different than the product id the warehouse uses. A separate document is then sent to the warehouse indicating the necessary substitutions. These substitutions can be made on-the-fly during the Order Import Apply process or ahead of time using the Setup Substitute Products screen.
If the requested product does not exist in the Coreflex Product master, an "unknown Product" error displays on the Order Import Apply Errors screen. You can then substitute the original product for a different product on-the-fly. Coreflex will then remember the substitution for future shipments by by that account to that specific end customer (ship to). When future imports for that account's end customer are imported, the substitution will be made automatically by Coreflex.
The pick sheet will print the Coreflex Product to be picked. When the order is exported, the originally requested product id will be exported in place of the Coreflex Product if the Account Preference Shipment Export: Use Substitute Product is set to Yes. If the Account Preference is set to No, the export file will place the Coreflex product in the Product id field.
If a substitution has been made the originally requested product code will always be exported in the SKU field regardless of the Account Preference setting.
The Externally Specified Substitutions may be maintained on the Setup Substitute Products screen.
Please note that any value that is in the SKU field of the import file will be overwritten if a substitution was made.
Re-Label Operation Substitutions
This is similar to the Externally Specified Substitutions. In this case, the Account will send the order file with the actual Coreflex Product id in the product id field and the product to be shown on the label in the SKU field. Note that if there is anything in the SKU field, Coreflex will consider it to be a re label operation.
The pick sheet will print the Coreflex Product to be picked. When the order is exported, the product that was imported in the SKU field will be exported in place of the Coreflex Product if the Account Preference Shipment Export: Use Substitute Product is set to Yes. If the Account Preference is set to No, the export file will place the Coreflex product in the Product id field.
Any value that was in the SKU field of the import file will always be exported in the SKU field regardless of the Account Preference setting.
