How to Correct a Receipt

Quick Overview:

• After an ASN is received, it may be changed by bringing it up on the ASN Entry Edit Screen and clicking the Edit Button (See the setup section below if the Edit Button is not enabled). The ASN status will go to In Entry.

• Use the Search Products Screen to Add any products needed to the ASN.

• Use the Cancel Button to Cancel any lines that were received incorrectly.

• Click the Entry Complete Button.

• If any new lines were added, the ASN will go to a Status of Awaiting Receipt. Use the ASN Receiving screen to receive the added lines.

Setup:

• Only users with a function of ChangeReceipt can Edit an ASN that is in a status of Receiving Complete, Awaiting Backorder Generation, or Complete. Use the Setup Users screen to add the ChangeReceipt Function to the desired user.
• Note that if any backorders are generated for an ASN, only the most receipt Backorder can be Changed.

Detailed Example:

• This scenario assumes that an ASN has been received with 100 of Product A and 120 of Product B and the ASN is in a status of Complete. However Product B was received in error and should have been 120 of Product C.
• The first step is to add the 120 of Product C. To do this, bring up the ASN on the ASN Entry Edit Screen and click the Edit button. The ASN will go to a status of In Entry.
• Click the Select Products button to bring up the Search Products button. Query product C, enter 120 in the Qty field and hit enter. A new line will be added with a Qty of 120 for Product C.
• Exit the Search Products Screen.
• On the ASN Entry Edit screen, click the Cancel button. The Cancel ASN screen will appear. Enter a Reason and click Update. Highlight the line with Product B and click Cancel. The Inventory indicated will be removed and the ASN line will be cancelled.
• Exit the Cancel Screen.
• On the ASN Entry Edit Screen, click Entry Complete. The ASN will go to a status of Awaiting Receipt.
• Bring the ASN up on the ASN Receiving Screen.
• Highlight the Line with Product C, enter 120 in the Qty to Receive and press enter. The ASN will go to a status of Awaiting Backorder Generation.
• 120 of Product C will show as received on the same date as the ASN Received Date.
